● Prepare property to make it attractive to prospect tenant
● Keep the Property clean to ensure that the property is marketable during vacancy period
● Advertising and marketing. Work with other realtors and leasing agents to find a tenant
● Prepare a standard lease agreement and inventory list
● Prepare invoice and receipt of deposit and monthly rent
● Collect monthly rentals and/or security deposit paid by the tenant and deposit into the owner’s bank account
● Send out late payment notices
● Given notice to terminate / renewal at least 60 days before the expiry date (subject to agreed lease agreement)
● Maintain document register based on legal documents , property files, such as, lease agreement, copies of insurance policies, copy passport of tenants, all important document from Juristic persons, and etc.
● Arrange for any maintenance and repair when needed. Schedule all maintenance and repair works with contractors and ensure that the property at all times is being managed efficiently. Any repair cost quotation shall be submitted for owner’s approval
● Provide updates about the physical condition of the property, advising on any renovations and maintenance required and make all financial arrangements to address
● Record all details of inspection and maintenance
● Inspect, notify, report the owner for any damage incurred in the property
● Furniture checking with inventory listing and record the condition of the property upon move-in and move-out date
Coordinate for payment of all utilities such as electricity, water, telephone bill, internet, and etc. during vacancy period
● Doing liaison work between tenants, juristic office, and owner
● Attend for annual general meeting co-owners
● Open house for all prospective tenants as requested
● Conducting necessary meetings with tenant
● Notify Immigration for the address where a tenant stayed and apply for the TM 30 form under the Immigration law
Monthly issue a summary of accounting details including rental revenue and expenses involved with the property
